One sentence I hear from corporate training managers from time to time is: “We’re not happy with our system, but switching is a huge job.”

I understand everyone who says this, because changing an LMS isn’t an easy decision. Today I want to explain why this feels intimidating—and how, at Nextrain, we make this easier just like everything else.

The real cost of switching an LMS shows up when you have to move everything you’ve accumulated in that system over the years. The license price is only the visible part of the job.

What happens to old courses?

You have dozens—maybe hundreds—of courses you’ve produced over the years. Content with scripts written, videos shot, real effort invested. When you move to a new system, will you have to recreate all of that from scratch? For most companies, this is the first scary question. No one can justify throwing away an archive of content built up over years—and rightly so.

What happens to users’ history?

The second issue is even more sensitive. Your employees have years of accumulated records. Who completed which training, who earned which certificate, who still has gaps in what topic… That history exists somewhere, and if it gets lost during the move to a new system, you lose a piece of your institutional memory. In audits, reporting, and HSE processes, these records are constantly needed.

And then there are analytics. Completion statuses, user behaviors, yearly trends… Over time, this data becomes the basis for your decisions. You don’t want to just walk away from it.

Moving to a new category: an ai-native LMS

All of this comes up even when you move from one classic LMS to another classic LMS. Now imagine moving to an AI native, next-generation LMS. We’re talking about a brand-new category, and naturally the question arises: “If it’s something completely different, will migration be even harder?”

Users in your old system are exported in Excel or CSV format. Everyone’s performance records, analytics, completion and non-completion reports, certificates… all of it comes along with this data. Who finished what, who didn’t, who has which certificate—everything is captured.

If your old system allows it, you also export your courses and deliver them to Nextrain.

All of this data and content goes into the migration program. In other words, your move from your old system to Nextrain AI takes 10–20 days depending on how dense your content is. You’re not starting from scratch; your history comes with you.

What if your contract is still ongoing?

The main barrier for most companies is this: there are still a few months left on the current LMS contract, so they can’t switch immediately. My recommendation here is clear: come to us two or three months before your contract ends, open your demo account, get to know the system, and once you’re convinced, the migrations can already have started little by little.

That way, you can closely see both the system’s performance and the migration process. Migration already takes 10–20 days depending on your content density, so it’s comfortably completed within that two-to-three-month window.

Think of it like a trial period. Is the new system right for you, is everything easy, is customer support there when you need it… You’ll see all of it firsthand during this time. At the end, you’ll make the switching decision with peace of mind.

On the day you decide, the system is already ready. Meaning you switch from one system to the other in a single day.
